Who we are
loop (loop.study) is a New Zealand on-demand tutoring service that connects students and their parents with registered teachers for live video lessons. It is operated by Loop Education Limited, a company registered in New Zealand, NZBN 9429053948748. That company is the agency responsible for the personal information described below.
We follow the Privacy Act 2020 and its thirteen Information Privacy Principles. Our Privacy Officer is Patrick Helsby, reachable at patrick@loop.study.
What we collect
From parents and caregivers
- Your name, email address and phone number
- Your password, which is stored hashed — we never see it
- Your card details, which go directly to Stripe. loop never sees or stores your card number.
- What you write to us: support requests, complaints, feedback
About students
- First name and school year
- Subjects and learning pathway (NCEA, Cambridge, IB, homeschool)
- Anything you choose to tell us about how your child learns best
- Which lessons they had, when, in what subject, and with whom
- The lesson itself — video, audio, the shared whiteboard, a written transcript, and the report built from it
We collect what is needed to teach your child, keep them safe and show you how they are getting on. Not more than that.
From tutors
- Name, contact details and identity verification
- Teaching Council registration number and practising certificate expiry date
- A short application video
- Availability, lesson history and lesson quality information
- Bank details for payment, collected by Stripe directly — loop never sees a tutor’s bank account
Why we collect it
- To run your account and match your child with a suitable tutor
- To deliver and pay for lessons
- To keep students and tutors safe, including reviewing a lesson when a concern is raised
- To write the report you receive after a lesson
- To check and improve the quality of the teaching
- To answer you, and to resolve complaints and disputes
- To meet our legal obligations
We do not sell personal information, and we never will. We do not use lesson content for advertising.
Lesson recordings
Every lesson is recorded. What is captured, who can watch it, how long we keep it and how to ask us to delete one are set out in full in our recording notice, which is part of this policy.
The automated lesson report
The report you receive after a lesson is produced with the help of an AI model. This is the part of loop most worth understanding properly, so:
- After a lesson, the recording is transcribed by Daily, our video provider.
- That transcript, along with your child’s name, the tutor’s name, the subject and the lesson date, is sent to Anthropic to be analysed. The video itself is not sent.
- A person at loop reads every report before you do. Reports go to a review queue first. Nothing about your child is sent to you by a machine unread.
- No decision that affects a tutor’s standing with loop — a complaint, a safeguarding concern, a suspension — is made by an automated system. A person decides.
Who else sees your information
- Your tutor, to the extent needed to teach your child: their first name, year level, subject and learning needs.
- Stripe — payments and tutor payouts.
- Amazon Web Services — hosting, and storage of recordings and audio clips, in Sydney, Australia.
- Daily — the video calls themselves, and transcription.
- Anthropic — the lesson analysis described above.
- Resend — the emails we send you.
- Police, Oranga Tamariki, the Teaching Council or another authority, where required by law or reasonably necessary to protect a child.
Information going overseas
Recordings and clips are stored in Australia. Stripe, Daily, Anthropic and Resend process information outside New Zealand. Before disclosing personal information to an overseas provider, the Privacy Act requires comparable safeguards to be in place; we rely on the contractual data protection commitments those providers give us, and we will update this section as those arrangements change.
How long we keep it
- Lesson video: 90 days, then deleted from our storage and our video provider’s.
- Transcripts, reports and the short audio clips a report quotes: kept while you have a loop account, so you can look back at your child’s progress.
- Account and lesson history: kept while your account is open, and for a limited period afterwards for tax, accounting and any unresolved dispute.
- Tutor verification records: kept while a tutor works with loop and for a period afterwards.
- Tutor application videos: deleted 90 days after the application is decided.
If a recording is relevant to an open safeguarding concern or complaint we may keep it longer than 90 days, and we will tell you if that applies to your child’s lesson.
Keeping it secure
Everything travels over encrypted connections. Email addresses are encrypted where we store them, and passwords are hashed, so a copy of our database does not hand someone your inbox or your password. Recordings sit in private storage. They are reachable only by loop staff, through short-lived links that expire within the hour, and every time one is opened we record who opened it and why. There is no link that lets anyone outside loop watch a lesson.
If a privacy breach happens that has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and the people affected, as the Privacy Act requires.
Your rights
You can ask us what we hold about you or your child, ask us to correct it, and ask us to delete it. Email patrick@loop.study and we will tell you what we hold and what we can do.
If you are not happy with how we have handled your information, you can complain to the Office of the Privacy Commissioner — privacy.org.nz or 0800 803 909.
A note about children
Most loop students are under 18. The account belongs to a parent or caregiver, who consents on the student’s behalf and can see everything we hold. We will always speak to the account holder first. As a student gets older we expect them to have more say in decisions about their own information, and we will support that.
Changes
We may update this policy. The date below changes when we do, and where a change is significant we will tell account holders directly rather than leaving it to be noticed.
